NZQA requires all students studying unit standards to register on their database. Students are issued with a unique Record of Learning number. All units completed are then recorded against the students record on NZQA's database (on payment of credit charges).

CPIT operates a small number of car parks in and around the campuses. As there are limited numbers of parking spaces available, it is strongly encouraged to consider an alternative means of transport.
These parks can only be used whilst attending classes or study.
There are number of Student, Staff and Mixed Car Parks - these are indicated on the Site Map
Staff and students must not use each other's car parks.
All car parks are Pay and Display and costs are displayed at each of the machines. To use any of the car parks you are required to display a current Parking Authority sticker. This sticker is to be displayed on the front windscreen, just above the vehicle registration label. These stickers can be obtained from Security or on presentation of your ID card or when paying your tuition fees at Enrolments Counter.
Please ensure that the current pay and display receipt is correctly displayed on the dashboard so that the date/time and location can be read easily from the outside of the vehicle.

A CPIT card is your student identification card and will be issued on request, to each student upon full payment of tuition fees. The card is valid for the year in which it was issued and has:

NOTE: students paying by loan will be issued with a card once advice is received from Studylink that their application has been approved. This may delay the production of your card at the start of the year, so its suggested you apply early for your student loan.
If you need your card replaced, please inform the staff at Security in the Rakaia Centre.
Your old card will be cancelled and a replacement card issued. There is a cost of $15 for any replacement card(s).
There are computer suites in the Rakaia Centre which will be available for 24 hour drop-in access. If you wish to have access to these computers you need to take your Card to the Security Office. Your card will be validated and encoded with a personalised identification number (PIN).

In producing your card, Christchurch Polytechnic Institute of Technology uses the personal information provided by you and held on our student records system JASPER, together with a scanned image captured in your presence or from an image provided by you.
Your Card will display your ID number, your name, your image, and your status as staff, student or other (e.g. council member).
The purpose of the Card is to provide a portable ID for identification and security management, to allow you authorised access to Christchurch Polytechnic Institute of Technology facilities and services, and to give you access to some external benefits.
Your personal information - including your scanned image - will be stored electronically and may be used to compile lists and directories for internal use within the institution as a whole or at divisional, faculty, school, course or class level. Some stored information will be transferred to the CPSA for membership purposes.
If you have previous experience, or have completed the same or a similar course elsewhere, you may be eligible for credit recognition. CPIT uses three types of credit recognition:
Recognition of prior learning - this takes your experience as well as learning into account.
Cross credit - this looks at the course you have done previously and compares it to the one you are interested in doing. If it is at least 80% the same, a cross credit may be granted.
Credit transfer - this is when you have done exactly the same course at another institution. Examples are unit standards or New Zealand Diploma in Business papers.
Standard charges apply for the credit recognition processes. Depending on the outcome being credited, you may also have to pay related external charges, e.g. NZQA credit fees, NZQA Registration fee.

This shows the status of your enrolment in that course. The following status codes are used:
ENR You are Enrolled and have paid.
PRE LOAN You have indicated and actioned payment through StudyLink.

INT You have expressed an interest in the class but are not holding a place.

In most cases you will be invited to add your name to a waitlist, and will be contacted if a space becomes available in the course.
A programme is a recognised path of study, which generally leads to a formal qualification. Programmes are made up of courses, some of which may be compulsory in order to gain the qualification.
Each programme has a code which identifies it to CPIT and to the Ministry of Education.
They are made up of two letters and up to four numbers-
e.g. CH3740 Bachelor of Business Computing
CH identifies it as a CPIT Programme. 3740 is the number allocated by the MOE.
Some national qualifications have the prefix ND National Diploma or NC National Certificate.
A course or paper is an individual unit of study. Courses vary in length, but most have an award at the end of them (for instance you may receive NZQA unit standards, or credits towards a certificate, degree or diploma).
Some courses may be compulsory and must be passed to achieve a particular qualification.
The course code is made up of several elements to help identify which course you are enrolled in.

FTNU 500-02A Assessed (CO) Nutrition
The first 4 letters are an abbreviated descriptor for the course.
The 3 Numbers are often related to the level of the course of paper.
02 indicates this was a 2002 occurrence.
Assessed or non Assessed refers to exams/tests. Location (CO = main site, Coventry Street)
Nutrition is the title of the course.
In some cases it is possible to commence study after the date of the course. If you are interested in a course, which has already started, let us know and we can consider your request.
These are special classes, which are run for secondary school students. These are not open to the general public.
A course may be run on a number of different occasions throughout the year. Each occasion is called an occurrence. The occurrence is shown by the letter at the end of the course code. (i.e. FTSP500-O2A - A is the Occurrence Code)
Most full time and some part-time courses have an application form. If the course or programme is a "restricted" entry course, you will need to complete an application form. (Press Apply next to the programme details to download a form). These forms are used to check if you have all the necessary entry requirements to join the course or programme. You may be asked to provide evidence of previous qualifications, provide a portfolio of work or attend an interview. "Open" entry courses are available to everyone over the age of 16 years.
Most CPIT mainstream programmes have English language requirements. (This does not apply to ISEL, or ESOL courses).
IELTS and TOEFL are both examinations which calculate a student's proficiency in the English language. Students are expected to meet the required standard before being accepted onto a programme or course.

Fees can be paid each semester, however your place cannot be guaranteed in any unpaid courses.
Payment of your full fees at the start of the year will prevent you having to reapply for student loans and allowances at a later date.

Students who have not paid their enrolment fees by the start date of their course will be liable for a late enrolment administration charge. This will be pro-rated, based on your EFTS total, up to a maximum of $45 per EFTS.
New Zealand citizens and permanent residents are eligible to study in New Zealand and be classed as domestic students. The Institute is able to claim Ministry of Education subsidies for all New Zealand domestic students, which is reflected in the price you pay for your course.
If you are not a New Zealand citizen or permanent resident, or have not supplied the required evidence to confirm your New Zealand citizenship or permanent residence, you will be considered an international or foreign student, and will be liable to pay full cost tuition fees.
Equivalent Full Time Student (EFTS) is the unit by which tertiary enrolments and funding is calculated. A full time, full year student is considered as undertaking a 1.0 EFTS enrolment.
The number of EFTS a student is enrolled in are used by the Ministry of Education to determine what information and evidence that student is required to produce. It is also used to calculate what funding CPIT will receive for each student.
CPIT must confirm your identity and citizenship before your enrolment can be confirmed. Until your permanent residency application is processed, you will be considered an International student and must pay the full cost tuition fees. If you have lodged a PR application and are applying to enrol at CPIT in the near future you can contact CPIT at info@cpit.ac.nz to discuss the best way to proceed.
A Student Allowance is a Government grant designed to help towards living expenses while you are studying full time. Contact StudyLink to discuss your eligibility. Student Allowances are not approved until a student has a paid enrolment at CPIT. If paying by loan it is recommended that students enrol early and lodge their loan applications with StudyLink so that their allowances are not delayed.
The Student Loan Scheme allows you to borrow money to help finance your studies. To be eligible for a Student Loan you need to be studying full time for 12 weeks or more or studying part-time with an equivalent full-time study value (EFTs) of 0.3 EFTs or more. A $50 administration fee is charged by StudyLink.
If you are intending to pay for course related costs by student loan you will need to provide evidence of what this money is required for. A summary of course related costs per programme can be obtained from your faculty administration office, or the Enrolments Desk in the Rakaia Centre.

Students who have been adjudged bankrupt are not eligible for a student loan.
Apply now for your Student Allowance or Student Loan even if your enrolment has not been confirmed. This will avoid processing delays.
In order to secure your place in the course of your choice, you must either pay or make arrangements to pay (by student loan, TIA or corporate enrolment).
You must pay or make arrangements to pay for your course/s before the start date of your course. Failure to do so will incur a late enrolment fee of up to $45.
Attendance at any CPIT course will be deemed to be your acceptance of the liability for all fees and charges associated with the course, and you will be invoiced for such fees, plus an invoicing charge.
It is a requirement of the Ministry of Education (MOE) that we confirm the identity of all students attending our Institute. You will be asked to provide your identity documents when you first enrol at CPIT. Details of your identity will be validated on our student administration system, and you should therefore not be required to produce your ID documents for subsequent enrolments.
Please note that the MOE will not fund students who have not supplied the correct ID documents, therefore we may have to charge students full fees if we do not receive this information.
Proof of identity is required for all students including international and distance delivery students.
If you are enrolled in a non-assessed course or if your total enrolments for the whole year are less than 0.03 EFTS (approximately 40 hours or less of study) you can prove your identity by producing one of the following:
If your total enrolments will be more than 0.03 EFTS, or if you are a New Zealand permanent resident you will be required to produce one of the following:
If you were not born in New Zealand (or the Pacific Islands named above), we need to see your passport to confirm your eligibility to study in New Zealand, and receive tuition at the domestic fee rate.
If you are a permanent resident and you leave New Zealand during your course, we may need to see your passport again to check your immigration status.
If we do not receive proof of your identity we will be unable to claim MOE subsidy for your course/s. As a result, you will be deemed to have foreign student status and may be liable for full-cost tuition fees.
CPIT will withhold academic results for students who have not provided identification documentation as required, until such time as copies of the relevant documentation are received.
To prove you have been granted refugee status you will be required to provide your certificate of identity and a letter from either New Zealand Immigration, UNHCR, or the Refugee and Migrant Service confirming your refugee status.
A verified copy is a photocopy of the original document, which has been certified as a true copy by a Justice of the Peace, Solicitor or Notary Public.

Unfortunately we are unable to access any identity documents, which you have supplied to Studylink for your loans and allowances, therefore we have to request that you supply CPIT with your identity documents as well.
If you prefer to be known by a name, which is not your legal name and can supply proof that you use this name (e.g. bank account details), we will record your preferred name on our system. You will be required to complete a CPIT declaration. This declaration cannot be used for any other purpose.
In all cases your legal documented name must be used for academic records, although your preferred names will also be shown.
Note: For any loan/allowance applications: DWI (WINZ) will use your legal name.

When you enrol at a tertiary institution for the first time, we are required to collect a range of information which is sent through to Ministry of Education. This includes details of your education to date, your last secondary school and your occupation in the October prior to the start of your course. The Ministry use this information for planning and reporting purposes, and it is a condition of our funding that it is collected.

We ask you to identify your preferred method of contact (address, phone, fax etc) and will endeavour to use this method whilst contacting you.
Students who identify as having a disability on the enrolment form will be contacted by the Inclusive Education Coordinator shortly after enrolment. This will ensure that she is aware of your presence at the Institute and will contact you to discuss support strategies.
CPIT welcomes applications from students from non-English speaking backgrounds and has put in place English Language Requirements to help you make correct choices and to ensure you have a level of English appropriate to the content and purpose of your chosen course or programme.
The requirements apply to all full time and part time programmes.
The requirements are detailed in separate brochures available from each Faculty reception area and are stated in terms of IELTS (International English Language Testing System, TOEFL (Test of English as a Foreign Language), NZ Sixth Form Certificate and NZ University Bursary. Equivalent overseas English qualifications may also be recognised
IELTS is always the preferred option as it gives the best indication of your likelihood of success in your chosen programme.

The Christchurch Polytechnic Students' Association is run by students, to provide help and assistance, for students in every area that is possible.
The Student Association fee is $149.10 per Equivalent Full Time Student (EFTS). If you are a part time student then you will only be charged a pro rata association fee depending upon the length of your course.
The Student Association fee will be collected by Christchurch Polytechnic Institute of Technology when you enrol, and forwarded to CPSA.
CPIT offers a range of services and facilities designed to support students through their study. These include learning services, parking, health and welfare services, graduation and other student related services.
The CPIT Student Services levy makes a small contribution to the costs of the support services.

A student set is a group of course, tutorial, lab combinations for a group of students sharing the same programme.
If you are in a full-time programme Your Faculty can tell you if you are in a particular student set and you can then see your personalised weekly timetable for your group.
Examples of Programmes that are likely to have student sets; Nursing, Computing, Food and Hospitality, Business, Hairdressing, Engineering, Recreation.

If you wish to withdraw from a course, you can do this a number of different ways:
If you are withdrawing from all your courses we suggest you should discuss your withdrawal with your programme leader or tutor.
Path/Course of Study is defined as the total length of the programme the student has chosen to study; as detailed in their Offer of Place and accepted by enrolling.
International students are admitted and enrolled into a Path of Study.
Refunds for International students use the students Path of Study for the basis of the refund calculation.
Your withdrawal date is the date on which we receive written advice of your withdrawal not the last day on which you attend.
The last withdrawal date is the last date that you can withdraw or change your enrolment from a course and still receive a partial refund. It is usually 10% of your course length, although this can vary and you should check to ensure you are aware of the LWDs for all your courses.
The last withdrawal date is shown on all statements of fees and receipts.
After this date refunds are only considered in exceptional circumstances (outside the student's control).

If you have withdrawn from a course after the last withdrawal date, you will not be entitled to a refund for that course (see LWD above for more details).
If you transfer or withdraw from courses and you are in receipt of a student loan or allowance please contact StudyLink on 0800 88 99 00. CPIT may inform StudyLink of any changes to your enrolment.
StudyLink may not inform CPIT if you inform them of any changes. It is your responsibility to ensure the Institute is officially notified of all changes to your enrolment.
It is your responsibility to inform CPIT in writing that you have withdrawn from your course. Your tutor will not withdraw you if you stop attending.
Refunds will always be paid to the original payee. Refunds to Student Loans and Training Incentive Allowances are paid direct to WINZ. Refunds can take up to six weeks to be processed, however we endeavour to get cheques issued as soon as possible after the withdrawal is received.
Your withdrawal date is the date on which we receive written advice of your withdrawal not the last day on which you attend.
If someone withdraws before the last withdrawal date there is nothing recorded against their record. If they withdraw after the LWD and before 80% of the course has been completed then there is a withdrawn grade entered for that paper. After 80% has been completed they will receive a fail or incomplete grade.
Fees for NZQA external examinations are sent to NZQA by the Central Academic Records Office in May for mid-year exams and in August for end of year exams. If you pay your exam fees on enrolment, then withdraw from the course before these dates, the Central Academic Records Office can arrange a full refund. If your fees have already been sent to NZQA their refund policy will apply and you will need to contact NZQA for further information
NZQA assessment fees for courses assessed internally may be refunded after the end of the course if you have formally withdrawn from it. Ask about this at the Central Academic Records Office in the Rakaia Centre.
You may receive a refund of registration or credit fees paid for Unit Standards after withdrawing from a course. Ask about this at the Central Academic Records Office, Rakaia Centre.

Transfer: The formal process of amending an existing enrolment (eg shifting from one course/occurrence/programme to another). Concurrent transfer: A transfer is deemed to be between concurrent renrolments where the start date of the new enrolment (transferring into) comes on or before the LWD od the old enrolment (transferring from)
